What this notice covers
This notice covers business enquiries, prospective-customer research and our business outreach. Client projects may involve additional information and arrangements explained when the work is agreed. This page does not describe or authorise any non-essential website cookies; those require their own information and controls where used.
Information we use and where it comes from
We use business names, activities, website addresses, published work contact details, relevant public information about service requirements and the messages you send us. If a business contact identifies themselves, we may record their name, role and work contact details. We also record the source of a prospect's details, correspondence, enquiry requirements and requests not to be contacted.
Sources include information you give us, your company's public website, public business registers, professional business pages and introductions. Public availability does not remove our responsibility to use information fairly.
Why we use information
We use information to answer enquiries, discuss and prepare proposals, identify businesses for which our services may be relevant, send appropriate business introductions, manage follow-ups and respect objections.
Where personal information is involved, our business outreach relies on legitimate interests in identifying and communicating with relevant business customers, assessed against the person's rights and reasonable expectations. We use consent where the law requires it. Enquiry handling may rely on legitimate interests or steps requested before a contract with the individual. We may also use information where necessary to meet legal obligations.
Marketing choices
You can object to direct marketing at any time by replying to an email or contacting info@safepolicies.co.uk. No special wording is needed. We retain the minimum details needed to record your objection and prevent further marketing. We do not treat every business as needing every accreditation or standard.
Service providers and AI assistance
We use service providers to support email, business administration, document preparation and prospect research. Our outreach setup uses Titan email, Snov.io, Make for automation, and Google Sheets for contact and campaign records, with AI-assisted research and drafting through ChatGPT. We share only information needed for the relevant task. AI can assist research and drafting; consultancy decisions and commitments remain with a person.
Providers may process information outside the UK. Before using a provider for a restricted international transfer, we check that an appropriate transfer arrangement is in place. Contact us for information about the providers and safeguards relevant to your information.
How long we keep information
We review inactive prospect information and delete or anonymise it when it is no longer needed for a relevant business purpose. We aim to review unresponsive prospects within 12 months of the last relevant contact. Enquiry and proposal records may be retained for the business relationship and any applicable legal requirements. Minimal suppression records are retained as needed to respect objections.
Your rights and complaints
Depending on the circumstances, you can request access, correction, erasure, restriction or portability of your personal information. You can object to processing based on legitimate interests and to direct marketing. Where we rely on consent, you can withdraw it without affecting earlier lawful processing.

We will update this notice when our use of business-contact information changes.
Website cookies and enquiry form
The redesigned pages do not load advertising or analytics scripts. The enquiry form uses an essential session cookie to protect submissions. It expires when the browser session ends. Hosting and security services may also process connection information to deliver and protect the website.
Contact form data is sent to Safe Policies through Make and our Titan business mailbox. We use it to review and respond to your request. A form submission does not subscribe you to marketing. WhatsApp and LinkedIn links take you to services with their own privacy policies.
